The Administrative Assistant will provide administrative support, including clerical, quality assurance, travel assistance, procurement, and accounting services supporting the Chenega Analytic Business Solutions (CABS) senior staff and program management office.
Responsibilities Maintain all general administrative support functions for the office, to ensure efficient utilization of time and resources.
Complete BSRFs, including gathering approvals, uploading to SMS, and tracking to completion.
Prepare briefings, job descriptions, weekly and monthly reports, program abstracts, summaries, and analyses as needed.
Initiate Purchase Requests and Purchase Orders in support of various company projects/programs.
Lead all quality compliance efforts for the company to include audit prep, PM training, SharePoint project site set-up, and monthly management monitoring.
Assist with monthly collection and processing of Purchase Card statements, coding, and compliance.
Assist executive staff members with expense reports, expense authorizations, meeting coordination, and event planning and participation.
Procure office supplies, coordinate delivery and pick-up, and track to completion.
Work with supporting business units to ensure accuracy and compliance with corporate policies and directives.
Assist the company's Program Controller and MIOS Finance with invoice payments, account set-up, coding, and processing as needed.
Perform regular local travel in support of company operations, marketing, and business development.
Assist with BD administrative efforts, including RFI's, conference scheduling, company registrations, NDA's, and TA's.
Provide daily time recording system monitoring and employee training.
Other duties as assigned.
Qualifications Associate degree OR High school diploma or GED equivalent and 2
years of experience in office administration, professional services, uniformed service, or management Must have a valid driver's license Background check and be secret clearance eligible Knowledge, Skills, and Abilities Must have the ability to obtain and maintain a secret clearance.
Advanced working knowledge of various computer software applications, like Microsoft Word, Excel, Access, PowerPoint, Outlook, and SharePoint.
Ability to read, interpret, and analyze general business policies, journals, technical procedures, government regulations, Statements of Work (SOW), and Performance Work Statements (PWS).
Must have the ability to multi-task and provide efficient, accurate, and reliable support services as needed.
Must be able to work evenings, weekends, or holidays as required to meet business needs.
Possess excellent English written and oral communication skills.
Ability to work both independently and as a team.
Ability to work in a fast-paced and/or high-stress environment.
Possess exceptional organizational skills.
Must be highly professional and can meet with executive staff, government personnel, existing and potential customers, as well as program management team members.
Ability to travel up to 25% locally.
